Let’s talk about something that might sound a little intimidating but has quickly become an essential tool for small businesses like yours—AI (artificial intelligence) and automation.


Over the last few months, I’ve been working on an event called “Demystifying AI” for my client, Friendship Heights Alliance. While I had ‘dabbled’ in AI, using ChatGPT for some work-related projects, I really was a novice.


When I decided my October blog should be about AI and how it can help small businesses, I suddenly was inundated with some amazing information! Wait, is that AI at work?? 


I’m going to link some of my recent reads and add a bit of what I’ve learned as it relates to independent businesses.


You’re probably thinking: AI? Isn’t that for the big companies with huge budgets and technical teams? Well, the answer is no! AI and automation are no longer reserved for the tech giants and big business. They're accessible, affordable, and can make a huge difference in how your business runs day-to-day. And, no, these tools will not replace all humans—if we use them properly they will give our teams more freedom. As my friend Nina explains, “computers don’t have brains, there is a lot of human labor being the wizard in the background.”


So, let’s dive in and explore why this is something you should be paying attention to—and how it can actually help you do more with less.

What Exactly is AI and Automation?

AI refers to machines or software that can perform tasks that typically require human intelligence. Things like understanding natural language, recognizing patterns, or even learning from data.


Automation, on the other hand, is all about streamlining repetitive tasks. Think scheduling emails, managing your social media posts, or sending customer follow-ups automatically.


Together, they can save you time, reduce errors, and help you focus on what truly matters—growing your business. Now, if you’re GenX like me and feeling like you’re in one of those Sci-Fi movies, have no fear. 


Why Should You Care About AI and Automation?

If you’re like most small business owners, you wear a lot of hats. You’re probably handling everything from marketing to customer service, and it can feel overwhelming. AI and automation tools are like your new best employees—they help you get things done more efficiently.


Here’s how:

AI-powered tools can take these tasks off your plate.   2. Better Customer Insights. AI tools can help you understand your customers better by analyzing data like buying patterns, preferences, and feedback. This allows you to offer more personalized experiences. For instance, email marketing platforms with AI can suggest the best time to send emails to your audience or even recommend content based on what your customers are interested in.

  3. Boost Your Marketing Efforts. Small business marketing is tough, especially with limited time and resources. AI can optimize your efforts, helping you create more effective campaigns. Tools like automated social media schedulers or AI-driven ad platforms can help you target the right audience, at the right time, with the right message. This means higher engagement and, ultimately, more sales.

  4. Stay Competitive. Large corporations have been using AI for years, and that’s part of why they’re so efficient. But now, the playing field is leveling. Small businesses that leverage AI and automation to keep pace and even outshine bigger competitors by offering more personalized, faster service.

  • Social Media Automation: Tools like Buffer or Hootsuite allow you to schedule posts in advance and provide insights into when your audience is most active, so your posts get the best visibility.

  • Accounting & Invoicing: Software like QuickBooks or FreshBooks can automatically handle invoicing, payroll, and expense tracking, giving you more time to focus on strategy.


Don’t Let Fear Hold You Back AND Proceed With Caution

While AI and automation can work wonders, it's important to remember that these tools are only as effective as the people using them. You’ll still need that personal touch and human oversight to ensure things run smoothly. AI can handle repetitive tasks and provide insights, but it can’t replace genuine human interaction—especially when it comes to building relationships with your customers. Think of AI as a helper, not a replacement. Your expertise, creativity, and personal attention are what make your business truly stand out.


The idea of integrating AI and automation into your small business can seem overwhelming, especially if you’re used to doing things manually. But here’s the thing—you don’t have to do it all at once. Start small. Pick one area of your business that feels time-consuming or repetitive, and look for an AI or automation tool that can help. Before you know it, you’ll be saving hours each week, gaining new insights, and wondering why you didn’t start sooner.


The future is already here, and it’s making small businesses smarter, faster, and more efficient. If you’re looking for ways to do more without burning out, AI and automation just might be the secret sauce.


Trust me, once you start, you won’t want to go back.
